About the Opportunity

DMI is seeking a Contracts Assistant to be a part of our growing contracts and subcontract teams. In this role you will be supporting contracts and subcontracts in accordance with company policies and procedures, applicable laws, and customer requirements.

Job Description:

Responsible for the tracking of: bid/quotations, no bids, follow-ups, procurement opportunity research, supplier and customer research, communication with organization’s suppliers and customers, order entry and acknowledgements, routine contract follow-ups including nearly and overdue status.


Essential Duties and Responsibilities:

  • Timely response to all formal customer and subcontractor/vendor inquiries and issues.
  • Verbal and written communications must be timely and of consistently high quality in content, style and clarity.
  • Perform complex data entry in various systems with a high level of accuracy
  • Assist in any projects with minimal errors in deadline-driven environment
  • Respond effectively to changing workloads and priorities
  • preparation of Representations and Certifications, Non-Disclosure Agreements 
  • Maintains contract/subcontract data base and associated files
  • Coordinates contract close-out efforts with customers and subcontractors.
  • May perform other duties as assigned


Qualifications, Knowledge, Skills and Abilities:

Ability to understand and follow instructions precisely, effective interpersonal skills, computer education and/or experience, effective communication skills in both verbal and written form.

  • Knowledge of Microsoft Word, Excel, and Outlook preferred
  • Ability to use independent judgment and creativity to address and resolve issues
  • Negotiating skills
  • Must be able to maintain high level of confidentiality and professionalism
  • Strong organizational and attention to detail
