    About the Opportunity:

    Digital Management, LLC (DMI) is seeking an experienced Administrative Assistant to provide on-site support to the Office of the Chief Information Officer (OCIO) at NASA headquarters in Washington, DC. This position interfaces with senior government officials on a daily basis and is considered highly strategic in nature.


    DMI’s NASA Headquarters Information Technology Support Services (HITSS) contract is a large program that provides high quality IT services across many areas of NASA utilizing technologies such as Java, .Net, Drupal, AWS, virtualization, MicroStrategy, ServiceNow, agile development, etc to enable NASA HQ customers to accomplish NASA’s mission.  We support our customer’s vision to deliver reliable, innovative and respected IT solutions.  Our team provides this support in the areas of Software Development and Testing, IT Engineering, IT Operations, Multimedia, Security, Project Management, Help Desk support, Strategy and Policy support, and Administrative support.

    Duties and Responsibilities:   

    • Assist with effectively managing the meeting calendar and schedule for principle OCIO client(s), maintaining and controlling principle's calendar (including scheduling and prioritizing appointments & meetings, accepting and declining invitations on own initiative and in accordance with protocol requirements)
    • Collaborate with other project support staff to set up and coordinate meeting schedules across different NASA offices, including external senior leadership meetings
    • Review all reports for principle and store according to NASA protocol; handle and store all document disposal containers accordingly
    • Create, edit, and formalize all principle's correspondence to meet NASA guidelines/standards, including the use of internal routing slips
    • Collect, prioritize and distribute incoming mail
    • Produces information through note-taking, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics; create, print, post, distribute and present presentations when requested
    • Submit requests to the Communication Support Services Center as needed
    • Coordinate travel plans and logistics, and prepare travel requests in the Concur travel system
    • Assist in using collaboration tools (e.g., teleconferencing, Lync, WebEx and Vidyo) for principle's meetings
    • Assist external clients with set-up at the OCIO when presenting at meetings for principle's and/or Subject Matter Experts
    • Prepare signature packages and routes same tracking the progress to ensure timeliness and deadlines maintained then distributing and filing package once executed
    • Act as a liaison with external customers and between OCIO divisions
    • Assist with filing, correspondence, and records management for the principle client
    • Archive official files for their division according to records management procedures
    • Order and maintain divisional office supplies inventory
    • Assist with on-boarding and off-boarding divisional employees
    • Support periodic divisional meetings, weekly reports, and divisional contact lists
    • Provide preparations and logistical support for face-to-face meetings as needed
    • Prepare official correspondence for signature
    • Back up other Project Support personnel as needed


    Education and Years of Experience: 

    • Five (5) to ten (10) years of executive-level project support/administrative assistant experience, preferably in the information technology field.

    Required Skills/Certifications:

    • Excellent demeanor and personal presentation a must
    • Excellent written and verbal communication skills and client focus a must
    • Self-starter with excellent problem solving and analytical skills
    • Experience with Microsoft Office
    • Experience with SharePoint

    Desired Skills/Certifications:

    • Experience with the Concur travel system

    Additional Requirements: 

    • A Public Trust clearance and physical access to the NASA Headquarters building in Washington D.C. is required for this position.
